Marble Keys Tone Ltd is the data controller for the personal information described here. We collect the minimum we need to quote, do and invoice your job, and we do not sell it or use it for marketing.
Your name, the address of the property we are working at, your email address and phone number, photographs and measurements of the area to be tiled, the quotes, sign-off sheets and invoices for your job, and a record of what you paid and when. If you pay by card, Stripe processes the payment and tells us only that it succeeded, the amount, and the last four digits of the card. We never see or store your full card number.
To answer your enquiry and survey the job (our legitimate interest in responding to you). To quote, carry out and invoice the work (performing our contract with you). To keep accounting records (a legal obligation: HMRC requires us to keep them for six years). To honour the guarantee and deal with any complaint or dispute (our contract, and our legitimate interest in defending a claim). We do not use your information for marketing and we do not make automated decisions about you.
Stripe Payments UK Ltd, to take card payments and issue refunds. Our accounting software and our email provider, who store our records and messages on our behalf. Our accountant, for our own accounts. Our insurer, if a claim is made. A court, regulator or the police where the law requires it. Nobody else, and never for their marketing.
If you ask for a quote and do not go ahead, we delete your details 12 months after the quote date. If we do the job, we keep the quote, sign-off sheet, invoices and payment records for six years from the end of the tax year of your last invoice, because the law requires it and because the guarantee and any dispute depend on them. Photographs of the work are deleted at the same time unless you have agreed we can keep them as examples of our work.
You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it (where we are not required by law to keep it), object to our using it, or ask us to restrict how we use it. Email hello@keys-tone.org and we respond within one month. If you are unhappy with how we handle your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
keys-tone.org sets no tracking or advertising cookies and runs no analytics. The typefaces on the site are loaded from Google Fonts, which means Google's servers receive your IP address when a page loads; no other third party is contacted by the site. Our hosting provider keeps standard server logs (IP address, page requested, time) for security, which are deleted automatically.
Your records are held in password-protected accounts with two-factor authentication, on providers' servers inside the UK or the European Economic Area, or with providers that have UK-approved safeguards in place. Only the people who need your details to do your job can see them.
